Agreement
By accessing or using the eLabs platform ("Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, do not use the Service. These Terms constitute a legal agreement between you (or the organization you represent) and Tech Healthcare.
1 Service Description
Tech Healthcare provides the eLabs platform — a proprietary AI-powered laboratory order automation system. The Service includes:
- AI Requisition Processing — automated extraction of patient demographics, test orders, physician details, and insurance information from uploaded lab requisitions (PDF, scanned images, photographs)
- Lab Order Generation — processing of extracted data into lab electronic orders with field-level validation
- Secure Lab Transmission — encrypted secure delivery of validated orders to your Laboratory Information System (LIS)
- Fax Automation — automated parsing and distribution of lab results to referring physicians
- WhatsApp Integration — requisition intake processing via WhatsApp image submission
- Multi-Lab Management — centralized administration of multiple laboratory configurations, compendiums, and user access
- Requisition Generation — creation of pre-populated requisition PDFs from configured data
2 Account & Access
Account Creation
Access to the eLabs platform requires a user account provisioned by an organization administrator. You are responsible for maintaining the confidentiality of your login credentials and for all activities conducted under your account.
User Roles
The platform implements role-based access control with the following tiers:
- Administrator — full system access including lab configuration, user management, secure settings, fax/WhatsApp management, system logs, and error handling
- Lab Administrator — lab-specific administration including data updates (compendium, providers, insurances, clients), requisition generation, and order processing
- Lab Technician — order processing, validation, history review, and patient demographics access
- User — basic order processing capabilities within their assigned laboratory
Account Security
- Passwords must be at least 8 characters and are stored using industry-standard hashing (scrypt)
- Accounts are subject to lockout after repeated failed login attempts
- Security verification (slider captcha) is required at login
- You must notify your administrator immediately if you suspect unauthorized access to your account
3 Acceptable Use
You agree to use the eLabs platform solely for legitimate clinical laboratory operations. You shall NOT:
- Upload content that is not a genuine lab requisition or related clinical document
- Attempt to circumvent role-based access controls or access data outside your assigned laboratory
- Use automated scripts, bots, or tools to interact with the platform without authorization
- Attempt to reverse-engineer the AI extraction engine or proprietary algorithms
- Transmit malicious files, malware, or attempt to exploit system vulnerabilities
- Share login credentials with unauthorized individuals
- Use the Service for any purpose that violates applicable healthcare regulations, including HIPAA
- Interfere with or disrupt the platform's infrastructure, security, or availability
Important Notice
Violation of acceptable use policies may result in immediate account suspension, termination of access, and reporting to appropriate authorities where legally required.
4 Data Processing & Accuracy
AI-Powered Processing
The eLabs AI engine processes uploaded requisitions to extract structured data. While our system achieves high accuracy, you acknowledge that:
- AI extraction is not infallible — users are responsible for reviewing and validating extracted data before authorizing transmission to the LIS
- The quality of extraction depends on the quality of the uploaded document (image clarity, completeness, legibility)
- The platform provides a validation interface for users to verify and correct extracted fields before submission
Lab Order Validation
Orders are validated for required lab order fields (patient name, facility, physician name, physician NPI, and ordered tests) before transmission. Orders that fail validation will not be sent to the LIS.
Duplicate Detection
The platform includes automated duplicate order detection to prevent resubmission of identical orders. Duplicate detection is based on patient name, date of birth, ordering physician, and test overlap within the same processing day.
5 Intellectual Property
All aspects of the eLabs platform — including the AI requisition extraction engine, lab order processing algorithms, user interface, documentation, and underlying source code — are the exclusive intellectual property of Tech Healthcare.
- You are granted a limited, non-exclusive, non-transferable license to use the Service during the term of your subscription
- You may not copy, modify, distribute, sell, or create derivative works based on the Service
- Data you upload remains your property; we claim no ownership over your requisitions, patient records, or generated orders
6 Service Availability
We strive to maintain high availability of the eLabs platform. However:
- The Service is provided "as is" and "as available" without guarantees of uninterrupted access
- We may perform maintenance that temporarily limits availability, with reasonable advance notice when possible
- We are not responsible for outages caused by factors outside our control (internet connectivity, third-party service failures, force majeure events)
7 HIPAA Compliance
Tech Healthcare operates as a Business Associate under HIPAA when processing Protected Health Information on behalf of Covered Entities. We maintain:
- Administrative, physical, and technical safeguards as required by the HIPAA Security Rule
- Business Associate Agreements (BAAs) with covered entity clients
- Comprehensive audit logging and access controls
- Incident response and breach notification procedures

8 Limitation of Liability
To the maximum extent permitted by applicable law:
- Tech Healthcare shall not be liable for indirect, incidental, special, consequential, or punitive damages arising from your use of the Service
- Our total liability for any claim related to the Service shall not exceed the fees paid by your organization in the twelve (12) months preceding the claim
- We are not liable for clinical decisions made based on data processed through the platform — users bear responsibility for validating all extracted information
9 Indemnification
You agree to indemnify and hold harmless Tech Healthcare, its officers, employees, and agents from any claims, damages, or expenses arising from:
- Your violation of these Terms
- Your use of the Service in a manner inconsistent with applicable laws or regulations
- Inaccurate data you provide or fail to validate before transmission
- Unauthorized access resulting from your failure to secure your account credentials
10 Termination
- Either party may terminate the service relationship with written notice as specified in the applicable service agreement
- We may suspend or terminate access immediately for violations of these Terms or the acceptable use policy
- Upon termination, your right to access the platform ceases; we will retain data as required by law and our data retention policies
- Provisions regarding intellectual property, limitation of liability, and indemnification survive termination
11 Changes to Terms
Tech Healthcare reserves the right to modify these Terms at any time. We will provide notice of material changes via the platform or email. Your continued use of the Service after changes take effect constitutes acceptance of the revised Terms.
12 Governing Law
These Terms shall be governed by and construed in accordance with the laws of the United States. Any disputes arising from these Terms or your use of the Service shall be resolved through binding arbitration or in the courts of competent jurisdiction.
